Refund & Cancellation Policy

1. Overview & Nature of Consulting Services

Glow Axispoint Consulting Ltd. (“Glow Axispoint”, “we”, “us”) provides high-touch, customized manual source code security audits, threat modeling, API vulnerability reviews, and programming advisory services. Because our engagements require reserving dedicated senior engineering hours and specialized code auditor allocations, this Refund & Cancellation Policy outlines the financial terms governing project adjustments, cancellations, and fee adjustments.

2. Scoping Deposits and Advance Retainers

Prior to commencing any code audit or architectural assessment, Client executes a Statement of Work (SOW) and provides an advance deposit (typically 30% to 50% of the total engagement fee) to secure auditor scheduling.

• Cancellations Prior to Work Commencement: If Client provides written notice of cancellation at least seven (7) business days before the scheduled audit start date, Glow Axispoint will issue a full refund of the deposit, minus a 5% administrative and credit processing fee.
• Short-Notice Cancellations (Under 7 Days): If cancellation is requested fewer than seven (7) business days prior to the start date, 50% of the deposit is retained to compensate for reserved engineering capacity that cannot be reallocated on short notice.

3. Engagements Already in Progress (Work Commenced)

Once our code auditors have begun inspecting client repositories, reviewing architectural documents, or tracing execution paths:

• Pro-Rata Billing: If Client terminates an active engagement before final deliverable handover, Client is billed pro-rata for all verified engineering hours and completed milestones up to the written date of termination.
• Interim Findings Handover: Upon settling accrued pro-rata fees, Client receives all draft vulnerability findings, raw notes, and proof-of-concept scripts compiled up to the cancellation point.
• Completed Milestones: Milestone fees associated with delivered and reviewed audit phases (e.g., Phase 1 Ingress Analysis) are non-refundable.

4. Project Rescheduling & Scope Adjustments

We understand that software development timelines and release milestones can shift due to unforeseen engineering delays:

• Rescheduling Notice: Clients may reschedule an audit start date up to two (2) times without penalty by providing at least five (5) business days written notice.
• Scope Expansion or Reduction: If repository lines of code or microservice scope change significantly between initial estimate and project kickoff, Glow Axispoint will issue an adjusted SOW reflecting revised timelines and fees.

5. Quality Assurance & Complimentary Re-Audit Guarantee

We stand behind the rigor of our manual code auditing:

• Every standard code review includes a complimentary 30-to-45-day re-verification window. Following the deployment of remediation patches by your development team, our auditors verify your fixes at no extra charge.
• If Client demonstrates that a reported vulnerability finding is fundamentally erroneous or in conflict with agreed scope parameters, Glow Axispoint will re-examine the target execution path and update the report without additional billing.

6. Refund Request Procedure & Processing Timelines

To submit a cancellation or refund request, please follow these steps:

1. Transmit written notification from your authorized engagement lead to info@glow-axispoint.click detailing the SOW reference number and reason for cancellation.
2. Our engagement management team will acknowledge receipt within one (1) business day and calculate accrued engineering time.
3. Approved refunds are processed within seven to ten (7–10) business days via original wire transfer or electronic payment method.
